Search, Filtering & Sorting
Leadflip's CRM provides search, filtering, and sorting to help you find and organize leads quickly. Use these tools to focus on specific segments—for example, unassigned leads, leads from a certain source, or leads created in the last week.

Search
The search bar at the top of the CRM performs a full-text search across lead fields.
- What's searched – Text-based fields (name, email, phone, notes, custom text fields) that are not encrypted.
- How it works – Type a query and results update as you type (search-as-you-type). Matches are highlighted.
- Encrypted fields – Encrypted fields cannot be searched. If a field is marked as encrypted in your Entity (e.g., for PII compliance), it is excluded from search. Use filters on non-encrypted fields instead, or decrypt data in secure contexts if your process requires it.
Tip: Search is case-insensitive and typically matches partial strings (e.g., "john" matches "john@example.com").
Filtering
Filters narrow the visible leads by specific criteria.
- Click the Filter icon (or "Filters" button) next to the search bar.
- Choose one or more filter conditions:
- Status – One or more status groups (e.g., "New", "Contacted")
- Assignee – Assigned to a specific user or unassigned
- Date range – Created at, updated at, or custom date fields
- Custom fields – Select, multi-select, checkbox, number ranges
- Apply the filter. The Kanban board and any list views update to show only matching leads.
- Clear individual filters or reset all to see everything again.

Note: Encrypted fields cannot be used in filters. Filters only apply to non-encrypted fields.
Sorting
Sorting controls the order in which leads appear within each column (or in list views).
- Sort options – Typically by created date, updated date, or custom fields (name, priority, etc.).
- Direction – Ascending or descending.
- Encrypted fields – Encrypted fields cannot be used for sorting. Use non-encrypted fields only.
Combining Search, Filters, and Sort
You can use all three together:
- Search for "acme" to find leads mentioning that term.
- Filter by status "New" and assignee "Unassigned".
- Sort by created date, newest first.
The result: newest unassigned leads in "New" status that match "acme".
Best Practices
- Start broad, then narrow – Use search first for quick lookups; add filters for complex segments.
- Reuse filter combinations – Remember which filter combinations work well for your process (e.g., "Unassigned" + status "New") so you can apply them quickly.
- Know your encrypted fields – If you can't find a lead by searching, check whether the field is encrypted. Use other fields or filters instead.
