On the template you mark the spots the recipient should fill. The kind of element decides what they fill it with: a tick, some text, or their signature.
Four kinds, three ways of filling them
Text, date, checkbox and signature. A checkbox is clicked, a text element typed, a signature element opens the signing sheet. The date is set by the application and asks nothing of the recipient.
The way of filling is derived, not listed
Where it follows from is the element kind's registration, not the signing page. Until 2026-09-16 a special case sat there: a checkbox to click, everything else to the signing sheet. A text element for a town next to the date therefore opened the signing sheet, and anyone typing there got their signature into the town field.
Required and optional
An element can be marked as required. While a required element is empty, the recipient cannot finish. For anything not truly needed, optional is the better choice: a required field in the wrong place leads to someone typing anything at all.
What goes back into the record
A text element may name a target field. Whatever the recipient enters there lands in that field of the record once they finish. A signature thereby doubles as data collection, without a second form.
Step by step
- Open the template and upload the PDF.
- Place a Signature element where the signing should happen.
- Add text, date and checkbox elements where needed.
- For each text element, decide whether it is required and whether it fills a target field.
- Release the template so the automation can use it.
The Signature kind is missing.
Then the signature module is not booked for this account. Without the module the element kind does not exist.
How big does the signature field need to be?
Big enough that the signature does not look squashed. It is fitted into the marked space; a very flat field turns every signature into a line.
Can a document have several signature fields?
Yes, and the recipient signs once. The same signature is placed at every marked spot.
What happens to the form fields in my PDF?
They are flattened on upload. Otherwise two layers would sit on top of each other, and which one gets printed would be up to the viewer. See Document templates.
