Glossary

A quick reference of key terms and concepts you'll encounter throughout Leadflip.


A

Account

Your Leadflip workspace. An account contains all your Entities, leads, forms, distribution profiles, team members, and settings. Each account has its own billing plan.

API Key

A secret token used to authenticate requests to the Leadflip REST API. API keys are scoped per account and can be created or revoked from Account Settings > API Access.

Automation

The module that lets you build automations—automated sequences of actions triggered by lead events (e.g., new lead created, status changed). See Automations Overview.


C

Cap

A limit on how many leads a distribution partner can receive within a time period (e.g., 50 leads per day, 500 per month). Caps prevent over-delivery and help balance lead flow.

CRM (Customer Relationship Management)

The module that provides a Kanban board for managing leads visually. Leads appear as cards that you drag between status columns. See Kanban Board.


D

Delivery Channel

The method used to send leads to a distribution partner—either Email (formatted message with lead data) or Webhook (HTTP POST to a URL). See Delivery Channels.

Distribution

The module that routes leads to partners automatically based on rules, caps, and priorities. See How Distribution Works.

Distribution Profile

A configuration that ties a set of rules, partners, and delivery settings to a specific Entity. An Entity can have multiple distribution profiles.


F

Field (Lead Field)

A single data point on an Entity—for example, "First Name", "Email", "Property Type", or "Budget". Fields have a type (text, number, select, date, etc.) and can be marked as required, encrypted, or system-managed. See Managing Fields.

Field Encryption

An optional security feature that encrypts sensitive lead field values at rest. Encrypted fields cannot be used in filters, sorting, or SQL queries. See Field Encryption.

Form

A lead capture form created in the Form Builder module. Each form is tied to an Entity and creates leads in the CRM when submitted. See Form Builder Overview.

Form Builder

The module for creating and managing lead capture forms with a drag-and-drop editor. See Form Builder Overview.


I

IMAP (Internet Message Access Protocol)

A protocol for receiving inbound email. Configuring IMAP in Leadflip (optional) allows the platform to sync and track incoming email replies. Configure it under Account Settings > Email Settings. See Email Setup (SMTP & IMAP).


K

Kanban Board

The visual board in the CRM module where leads are displayed as cards in columns. Each column represents a status. Drag cards between columns to update their status. See Kanban Board.


L

Lead

A single record (contact, prospect, submission) stored in an Entity. A lead contains data for all fields defined on its Entity, plus metadata like status, creation date, and assignment.

Entity

The central data model in Leadflip. An Entity defines what a "lead" looks like for a specific use case—its fields, statuses, and pipelines. All modules (Form Builder, CRM, Distribution, Automation, API) operate on Entities. See Entities Overview.


M

Member

A user who belongs to your account. Members can have different roles and permissions. Manage members from Account Settings > Members.


O

Overage

Additional charges that apply when you exceed your plan's included lead or distribution limits. Overage rates are defined per plan (e.g., $0.02 per extra lead).


P

Partner

A lead buyer or recipient in the Distribution module. Partners have delivery channels, caps, and pricing configured. See Partner Management.

Partner Portal

A dedicated login area where distribution partners can view their received leads, invoices, and delivery stats. See Partner Portal.

Pipeline

A sequence of statuses that leads move through—for example, "New → Contacted → Qualified → Closed". Pipelines are defined via Status Groups on an Entity. See Status Groups & Pipelines.


S

SMTP (Simple Mail Transfer Protocol)

The protocol used to send outbound email. Configuring your own SMTP server is required for Leadflip to send branded emails from your domain. Without SMTP, features like CRM notifications, Automation email actions, and Distribution email deliveries will not work. Configure it under Account Settings > Email Settings. See Email Setup (SMTP & IMAP).

Status

A stage in the lead lifecycle (e.g., "New", "In Progress", "Won", "Lost"). Statuses are organized into Status Groups and displayed as columns on the Kanban board.

Status Group

A named collection of statuses on an Entity. Status groups let you organize your pipeline into logical phases. See Status Groups & Pipelines.


W

Webhook

An HTTP POST request sent to a partner's URL when a lead is distributed to them. The payload contains the lead's field data in JSON format. See Delivery Channels.

Automation

An automated sequence in the Automation module. An automation has a trigger (what starts it) and one or more actions (what it does). Automations can branch, filter, and use lead field variables. See Automations Overview.
