Tasks

Tasks let you create actionable follow-ups directly on a lead. Assign a task to yourself or a team member, optionally set a due date, and Leadflip takes care of the rest — sending notifications when the task is assigned and daily reminders when it's due or overdue.

Creating a Task

  1. Open the Lead Detail drawer by clicking a lead on the Kanban board.
  2. In the composer area (left column), click the Task tab.
  3. The due date picker and task owner selector appear below the tabs.
  4. Write a description of the task in the text area.
  5. Optionally select a due date — the date by which the task should be completed.
  6. Choose the task owner — the person responsible for completing the task. Defaults to the lead owner.
  7. Click Save.

The task appears immediately in the lead's activity timeline.

Due Date and Task Owner

Field Required Default Description
Due date No None The date by which the task should be completed. Reminders start on this date.
Task owner No Lead owner The team member responsible. Can be yourself or anyone on the team.

No due date? The task is still created and the assignee is notified, but no daily reminders are sent since there is no deadline.

Notifications

Leadflip sends notifications at key moments throughout a task's lifecycle:

1. Task Assigned (immediate)

When you create a task, the task owner receives an email and an in-app notification immediately. This ensures they know a task has been assigned to them, even if there's no due date.

2. Due Date Reminders (daily)

Starting on the due date, the task owner receives a daily email and in-app notification every morning at 08:00 UTC. These reminders continue every day until the task is marked as complete.

3. Self-Assigned Tasks

If you assign a task to yourself, you will not receive the initial "Task Assigned" notification (since you just created it), but you will receive the daily reminders once the due date arrives.

Managing Tasks in the Timeline

Tasks appear in the lead's activity timeline with a clipboard icon. Each task shows:

  • A checkbox — click to mark the task as complete (or uncheck to reopen it).
  • The task description — the text you entered when creating the task.
  • A due date pill — shows the due date. Turns red if the task is overdue.
  • An assignee pill — shows who the task is assigned to.
  • A completion badge — appears when the task is done, showing the completion date.

When a task is completed:

  • The text gets a strikethrough style.
  • Daily reminders stop automatically.
  • The task remains in the timeline for reference.

Best Practices

  • Be specific — Write clear task descriptions like "Call back to discuss pricing" rather than just "Follow up".
  • Set realistic due dates — Give yourself and your team enough time to complete the task.
  • Use tasks for accountability — Assign tasks to team members when you need something done on a lead, rather than just leaving a note.
  • Complete tasks promptly — Check the checkbox as soon as the task is done to stop daily reminders.
